Getting started

Signing up, documents, the first week, members joining.

How does a church start on Churpay?

Sign up at churpay.com/onboarding. The form takes an afternoon: the church, the person representing it, the setup, the verification documents, and a review. You can save it and finish later. Churpay checks the documents within one working day and emails the admin their sign-in.

Which documents do we need?

CIPC or NPO registration papers; a bank letter or stamped statement in the church’s name, not older than three months; the representative’s ID; a recent proof of address; a resolution or authorisation letter only if the representative is not named on the registration; and the church logo. The bank account must be in the church’s name, never a pastor’s personal account: that is FICA, the law that protects churches and givers.

What should we set up in the first week?

Create the funds (Tithe, Offering, Building and any project), make one test gift of R10 to see it arrive, print the giving QR code for the screen and the door, and load or import the member list (Excel or CSV). Then announce it from the front on Sunday with the QR code on the screen.

How do members join our church in the app?

They download Churpay from the App Store or Google Play, enter their phone number, and pick your church. Your own link, churpay.com/app?church=YOURCODE, opens the app already pointed at your church; it is on the portal’s Admin page and on the QR code.

Can we import our members and giving history?

Yes. Members import from Excel or CSV in People › Import, with names split and columns mapped for you. Giving history and migration from another system is a once-off service of R2,500: ask support and we do it with you.

Can more than one person run the portal?

Yes. Admin › Staff adds people by role: owner, admin, finance, pastor, usher, kids desk, secretary and kiosk. Each sees only their part, and staff sign-in asks for a second code by email or WhatsApp.

Giving and payouts

Fees, where the money goes, refunds, cash, 18A.

Does Churpay hold our money?

Never. Every gift settles into your church’s own bank account through your own Paystack subaccount. Churpay cannot touch a cent. Paystack pays out the day after the gift.

What does a gift cost?

Two fees. The Churpay platform fee is added on top of the gift, paid by the giver and shown before they pay: R2,50 + 1,5% on Starter, R2,50 + 1,25% on Growth, R2,50 + 1% on Church+. Paystack's card fee, 2,9% + R1 plus VAT on the amount paid, is what any card machine or payment link charges; it comes off the payout, and each payout lists it. Cash recorded in Churpay costs nothing.

A member says they gave but we cannot see it

Open Finance › Transactions and search their name or the time. A card payment that was declined never reaches the church and never shows. If the gift shows as pending, the bank is still confirming it; it clears within minutes, sometimes an hour. Still missing after that: send us the member’s name and the time through Admin › Support.

Where is our payout?

Finance › Payouts lists every settlement with its bank reference. Paystack pays out the day after the gift; a weekend payout can reach the bank on Monday. A payout can fail when the bank account was changed or closed: fix the details under Admin › Bank, press Verify, and the next settlement goes through.

How do we refund a gift made by mistake?

Finance › Transactions › open the gift › Refund. The owner or an administrator can do it; the money goes back to the member’s card within a few days and the register shows the reversal.

How do we count cash?

Church Life › Cash count on Sunday: two people record the count, each line is matched to members’ envelopes where known, and the owner approves it. Approved counts go to the bank deposit and into the books, so cash givers get statements too.

Can members give every month without thinking about it?

Yes, on Growth and Church+. In the app, under Give, a member chooses the fund, the amount and the day of the month. They can stop it any time. Recurring gifts show in the portal with the rest.

Section 18A certificates

If your church is approved by SARS for Section 18A, the portal issues certificates for the tax year under Finance › Section 18A, one per giver, from the gifts on record. Members download theirs in the app. Every plan includes it.

Running the church

The kiosk, messages, projects, statements, your plan, privacy.

What does the kiosk do?

The kiosk is a tablet at the door or the children’s desk: members and families check in, children are checked in and collected safely (only by the people the parents named), newcomers are captured, and the offering is counted after the service. It works offline and syncs when the signal returns.

How do we message members?

Church Life › Broadcasts sends to everyone, a group or a service: in the app, by WhatsApp and by email. WhatsApp messages are counted against your plan (50 a month on Starter, 300 on Growth, 1 000 on Church+); messages in the app are free.

Can we run a building project or a campaign?

Yes. Projects has a target, a page members can give to, and progress everyone sees. Members can also pledge towards any fund, and the portal shows pledges against what has arrived.

How do statements and the month-end work?

Finance › Statements gives each member their giving statement for any period, and the month-end summary for the council: income by fund, cash counted, payouts received and what is still on its way. Growth and Church+ add bank statement import, budgets and payroll.

How do we change our plan?

Admin › Subscription. Starter is free. Growth and Church+ have a 30-day trial and can be paid by card (renews by itself) or by EFT against an invoice. You can move between plans at any time; the lower platform fee applies from the next gift.

Is our members’ information safe?

Churpay follows POPIA. Each person sees only what their role allows, payments are processed by Paystack (cards never touch Churpay), everything is encrypted, and the church owns its data. A member can delete their own account from the app. Our security page has the detail.

When you are stuck

Something broken, an idea, a person to talk to.

Something is broken on a Sunday morning

Open the portal › Admin › Support › New request, choose ‘Something is broken’ and mark it Urgent. Churpay support sees it at once and you get a reply in the portal and by email. For a kiosk or app crash, the error has usually already reached us; the request tells us which church it hit.

We have an idea for Churpay

Admin › Support › New request › ‘An idea for Churpay’. Every idea reaches the founder; the ones many churches ask for are built first, and the What’s new card on your Home tells you when they ship.

How do we reach a person?

Admin › Support in the portal is fastest and keeps the history. Otherwise support@churpay.com, or the contact form on this site. Our office hours are Monday to Friday 08:00–17:00; Sunday mornings we watch the platform live.
